Why Event Planners Need Self Storage

Table set up for an event

Statistics suggest that the UK  events industry is worth around 59 billion pounds  and employs an estimated 775 thousand people.

Gauging just how many event planners there are in the UK is an almost impossible task. According to Statista, there are around 64 thousand people working in event planning as conference and exhibition managers and organisers in the United Kingdom. According to recent research by IbisWorld , there are around 5500 wedding planners alone. These figures don´t include the people creating an annual company event, or the marketing departments who facilitate regular corporate events for customers or to attract business.

Whatever the figure, the answer is ´lots´. So what do event planners often need that self-storage can supply? Pink Storage takes a look at the benefits of self storage:

Easily accessed storage space

Every event planner – and event -  is different, but if you are planning a one-off event or an annual one, regularly planning any kind of events, large or small, or running an events company there are always things to be stored. self storage can help!

For wedding planners, event items may be anything from samples to marquees. For marketing departments, planning an event may include banners and giveaways, brochures and display equipment. For mass participation events there may be tents, barriers, even Portaloos. From decorations to furniture, to stage equipment and even staging, the right storage solution will help you to stay organised and create a successful event, on budget.

Whatever the event type, those involved need convenient access to these things to be able to cater to everyone’s schedules. And as there are often multiple events happening simultaneously, storage needs to be easily accessible and flexible to meet their own needs.

It doesn't matter how well you plan, there will always be something you need to access (or put away after an event) late evening or early morning, outside of normal working hours. It comes with the territory!

Store your event inventory to keep it safe and dry

From pristine tablecloths and tableware to expensive AV equipment, knowing where things are and keeping them safe is important.

That generally means clean, dry storage units, with enough ventilation to prevent mould developing.

Similarly, all of these things cost money, some are almost irreplaceable, so security at the storage unit is essential (as in insurance).

Seasonal storage

Spring sees Chinese New Year and Valentine's Day. Summer sees festivals and weddings. Autumn sees the political conference season and Winter delivers Christmas. Visit Wales has a fabulous list of the biggest annual events in Wales , and Visit Manchester has a similarly impressive guide.

Whatever kind of event , large or small, there are generally quieter and busier times of the year either because of the event's timing or due to planning and delivery. This requires organisation - and the space to work it!

Putting things away clean and organised, rather than simply a ´dump and run´ (which, let's face it, is sometimes tempting when the team is exhausted) will make future events that much easier.

Keep track of inventory

If you store all of your event materials in a single, safe and secure space, the logistics of keeping lots of equipment become easier.

Event planners normally have a talent for organisation, so they should let this apply to the storage unit as well. This way things will last for a good deal longer, reducing costs and stress, and be easily accessible when needed, reducing the need for those sometimes agonising waits for deliveries.

The extra space is useful not only for bulky items but for the little, costly things that are easily lost.

Juggling conflicting demands, knowing where everything is or should be, is made way easier if you have the space you need

Whether you run an event planning business or work for a larger company creating events, having a dedicated, secure storage unit will make life easier and save money on lost or damaged inventory, to say nothing of time lost looking for things.

Declutter your office/meeting spaces

Whether your office space is a formal space or at home, it's the place you´ll meet clients or be meeting up to plan.

A clear, uncluttered space, with just enough ´things´ to be able to do the job (for example samples, brochures etc) will give a far better impression than mounds of ´stuff´.

Event organisers will always have lots of things they need to keep, but these things rarely need to be all on show, all of the time. Keeping office/meeting spaces clear and tidy will not only give a great impression to clients and co-workers, it's better for you mentally. Decluttering will, according to many experts, make you feel calmer, happier, more relaxed and more in control. You can look, and feel, on top of your game.

Moreover, a large part of the event organisers work is simply communication – confirming orders, delivery dates, contracts. The devil is, as they say, always in the detail, and small details can make or break an event.

Having the exciting events ´stuff´ around you constantly can be a distraction from the important work of sitting with phone/email and a ´to do‘ list simply getting things done. You don't want to be faced with the choice of (a) tidying up or (b) sending those all-important ´thank you´ messages after an event. Both have their time and place.

A self storage unit will ensure that you have a clear space to work. Knowing where things are (put away in the storage unit), and avoiding trip hazards helps as well!

Keep work and home separate

Event planning, with its constant, immovable deadlines, is notorious for its stress levels – an American survey last year found event planning to be the sixth most stressful job, after policemen, firefighters, pilots and military personnel.

Self storage will help you get organised, allowing you to clear your head and have quality time at home without constant reminders worrying you about work.

Research studies have apparently found that intelligence only accounts for 30% of overall professional achievement. Mental strength is the key differentiator.  Separating your work and personal life not only increases efficiency at work but can also reduce stress in your personal life, filling up that ´mental strength ‘battery.

Burnout can leave you feeling exhausted and negative, both of which affect your ability to function, especially in a high-octane, upbeat events environment. This is not something event planners can afford. If you are tired and run down, you cannot be at your most creative and organised.

Space for Event Breakdown

Most venues want their spaces cleared almost immediately after an event has finished.

Whilst we don't advocate leaving units messy – you will simply add to stress levels longer term – simply having somewhere to put things out of sight and mind for a short while can give you and the team time to take a break after an event.

Events often mean working hard and playing hard. Trying to clean and store things when you're exhausted and need a break can create resentment. It can prevent people from taking the time they need to be with family and friends who have been put on a back burner whilst the event sucked dry everyone´s energy and attention.

Provided what's being stored isn't food, things popped in a storage unit can mostly wait for a short while to be put away properly - a Godsend when you're arriving back from a conference or party late evening and still need to return the rented van, or need a warm day to wash down and dry out tents and awnings.

Making sure that the clean up is in the diary will save a lot of heartache, but the short break after an event might just save your sanity. Provided of course, it's not all lying around in your personal space. (Clutter is never 'on brand´.)
